Data Protection, Rules & COVID-19

By registering for the Camden Swiss Cottage Swimming Club (CSCSC) Learn to Swim Programme at the Mallinson Sports Centre, your swimmer is becoming a member of Camden Swiss Cottage Swimming Club. Although this membership is not with Swim England, you and your swimmer must adhere to the policies governed by Swim England due to the Club's affiiliation and SwimMark accreditiation.

By being a member of CSCSC, the data you provide will be stored electronically, unless specific objection is registered with the Club’s Office Manager, we will assume that you agree to the holding of this data. CSCSC abides by the Swim England privacy policy. We would encourage all members to review the Club's Data Protection Policy and Swim England's Privacy Policy.

I hereby apply for membership of CSCSC.  I agree that I will abide by the rules of the club (as defined in the Swim England Code of Ethics, the Anti-Bullying Policy, Code of Conduct for Swimmers and Parents and CSCSC’s Constitution) and confirm my understanding that such rules (as amended from time to time) shall govern my membership of the club.  I further acknowledge and accept the responsibilities of membership as set out in these rules.

I confirm that I have read and agree to the Swim England Code of Ethics, the Club's Anti Bullying Policy, the Code of Conduct for Swimmers and, if registering on behalf of a minor, agree to the Code of Conduct for Parents.

I confirm that I have read the COVID-19 Declaration and understand the risks attending swimming training and competitions during (and beyond) the pandemic. I agree for me/my swimmer not to attend training should I/they present COVID-19 symptoms, communicate any positive test(s) to the COVID Lead/Coach and adhere to all government guidance.

By joining CSCSC I acknowledge that I have read and agree to abide by the Club’s Constitution.

I hereby acknowledge that my child(ren) is (are) physically fit and capable of participation in all Swim Team activities.

 

CSCSC Fee Structure and Financial Policies

By joining Camden Swiss Cottage Swimming Club, you acknowledge the following fee structure and financial policies:

Fee Structure

Membership:

Club membership is required for all CSCSC swimmers (including lessons) and is payable upon registration. 

For swimmers joining the Learn to Swim Programme at the Mallinson Sports Centre or ASL, the one off membership fees are £7.00

Lessons Fees:

Lessons are paid for on a monthly (4 week) basis.. 

Your account will be invoiced monthly on the 1st for lessons fees. These fees are payable by monthly standing order or by debit/credit card and are due regardless of how many sessions per month you swim. The Club does not offer members the option to freeze fees or to pause a membership for weeks/months.

It is your responsibility to add (and update) your card details to your Team Unify account or set up and/or manage your monthly standing order as the club does not have the authority to do this for you. 

Your card details will not be stored on this or any other website. The Club, it's employees and volunteers will not be able to access or amend your card details. The online payment system creates a 'virtual token' for your card and will 'exchange' this token for any amounts payable to CSCSC.

In the unfortunate event your payment is late or 'bounces' you will be charged a £5 penalty fee. We will attempt to contact you to take payment or ask you to arrange payment. If the account is not brought back up to date, and a balance remains, this non-payment will result in your swimmer being removed from the programme

Any member who has a subscription, fee or other charges is unpaid will have their membership and account suspended with no access to lessons. Please see the Overdue Payment Policy for more information.

Should your card be lost, stolen or expire, as the card holder, you are required update your card details in your account. Please follow the instructions below:

  1. Sign in to your team's SwimOffice website.
  2. In the side menu click My Account > My Account.
  3. Click  Payment Setup tab.

  4. If needed, select  Use for Lessons Specific Fees by the credit card you want.
  5. Click  Update Card and click  OK to confirm.
  6. Fill in all of your credit card information.
  7. Click  Copy From Account Info to quickly add your billing information that is on file.
  8. Click  Next. You have now updated all monthly classes with this credit card.
  9. Click  Save Payment Setup if needed.

Leaving the Camden Swiss Cottage Swimming Club:

If you wish you to leave CSCSC, please make sure you are fully aware of what is required in order to resign from the club. Failure to follow this process will result in you being liable for continued fees until the official resignation process has been followed. 

The Club requires notice in advance of the billing date (1st of each month) to cancel membership and swimming lesson invoiced fees.  To avoid being liable for additional fees members shall give 4 weeks written notice to the Office Manager. As your fees have been paid 4 weeks in advance, we will not invoice nor take payment for the final 4 weeks of lessons.

All fees and subscriptions owed must be paid in full prior to cancellation of your membership. Please send written notice to [email protected]

 

CSCSC Social Media Policy

The club has adopted the Swim England Social Media Policy contained in Swim England Wavepower 2020-23

Camden Swiss Cottage Swimming Club Members under the age of 18

  • Do not ask your club coach or teacher to be your social networking site friend - they will refuse as that would breach good practice
  • Use the Internet positively and do not place yourself at risk. Have a look at http://www.ceop.police.uk/for some useful tips.
  • Consider who you are inviting to be your friend and follow the good advice of the social networking sites to ensure you are talking to the person you believe you are talking to
  • Always consider that any communication, comments, photos and video clips posted on a social networking site may be shared with persons other than those for whom it was intended.
  • Never share pictures of yourself or your friends that might reach other people that you do not wish to see them. Also never post or send any photographs, videos or make comments that may be including but not exclusive to: 
    • Hurtful, untrue and upsetting and you may regret sharing later on
    • Used by other people in a way you did not intend or want
  • Do not put pictures of other club members on the site within the club setting as you may breach the club’s Photography Guidance lf you do wish to upload a picture you must get advice and consent of your parent, the other young person and their parent and a club officer before even considering uploading a photo. This will not prevent you having pictures of your swimming friends on your site taken outside of the sporting arena but it is good advice to always ensure they and their parents are happy with any picture you have of them on your site.
  • Always be aware that social networking sites are a method of communication like letter writing and the spoken word. They are bound by the same laws and rules. Such technology is instant and this allows you as the user to react in the 'heat of the moment', where in the past you would have been required to write a letter, which would have taken time and allowed for you to think again before sending. So never place a comment on the internet that you would not put in writing or say to the individual concerned face to face as to do so may not only breach Club Policy but also the law.

Camden Swiss Cottage Swimming Club Members aged 18 or over

There have been occasions where Swim England members/parents of Swim England members have used social networking sites to criticise or verbally abuse swimming clubs, its officers, officials, coaches, teachers, and swimmers in an inappropriate and unacceptable manner, This has in some cases led the person who is the subject of the verbal abuse to take action through statutory agencies or statutory legislation to address the comments made.

Camden Swiss Cottage Swimming Club’s code of conduct for swimmers states that swimmers are expected to "Treat all members of and persons associated with Camden Swiss Cottage Swimming Club and Swim England with due dignity and respect…the use of inappropriate language or abusive language, bullying, harassment…will not be tolerated and could result in action being taken through the club disciplinary or child welfare policy’.

Members should be aware that posting messages, comments or any other media on a social networking site that breaches the above requirement of a parent of Camden Swiss Cottage Swimming Club may breach the Swim England Swimmers Code of Conduct.

Parents of Camden Swiss Cottage Swimming Club Members under the age of 18

The Swim England Code of Conduct for Parents states that parents are expected to "Behave responsibly as a spectator at training and treat swimmers, coaches, committee members and parents of yours and other clubs with due respect meeting the Swim England's commitment to equality"

Parents should be aware that posting messages, comments or any other media on a social networking site that breaches the above requirement of a parent of Camden Swiss Cottage Swimming Club may breach the Code of Conduct for Parents.

 

CSCSC Photo Consent

Camden Swiss Cottage Swimming Club may wish to take photographs, (individual and in groups) of swimmers. All photos will be taken and published in line with Swim England Policy.

In some circumstances the club may also record video images to aid individual’s technique and training.  All images will be used in with Swim England guidelines and electronic data will be subject to data protection. Swim England Privacy Policy.

In the case of members aged under 18 years, Camden Swiss Cottage Swimming Club requires parental consent to take and use video images and photographs.

Parents have the right to refuse agreement to their child being photographed or videoed and should contact the club welfare officer ([email protected]) at any time should you wish.

I understand that CSCSC will:

  • Use video filming for training purposes only, i.e. technique analysis
  • Use a professional photographer (approved by the club) who will take photographs in competitions, galas, meets, club events
  • Use photographs of members, including those aged under 18, in club publicity such as website, posters and noticeboards
  • Use photographs of members, including those aged under 18, to include with newspaper articles

I understand that I may withdraw my consent for any part of the above or for all photographic consent, by completing the Withdrawal of Photographic Consent form (click here) and sending it to the Team Manager.

 

Rules and Instructions for attending ASL Lessons 

Arrival

Please only arrive 5-10 minutes before the lesson start time, to get changed and make your way onto poolside. The teachers will register your child on the poolside at the beginning of the lesson. Please only come onto campus 15 minutes prior to the session time to make your way straight down to the pool.

Swimmers must be accompanied by an adult during the lesson.

What to bring

You should bring ID, as the security team may ask for this before allowing you to enter the building. Your child should bring a swimsuit, a towel, and any showering products they wish to use. Goggles and hats are advisable. We provide all equipment needed during the lessons.

Changing rooms

If your child is under the age of 8, and they need support, they should use the changing room suitable for that adult, for example, 5-year boy with mum can go into the females. Any children aged 8 and above must use the correct changing room for their gender. We also have an accessible changing room if you wish to use this instead.

Spectators

We ask, where possible, to minimize the number of people coming to watch the lessons, to reduce the number of people on the poolside for the safety of everyone. We ask that masks are worn whilst inside the school, unless exempt, however, once you are seated on the poolside you can remove your mask due to the poolside temperature. Masks should then be put back on before you start moving around again.
