Meet Promoter

Work with Committee and Coaching team to plan, promote and facilitate the successful and efficient running of the meet.

  • Book pool dates / allocate training time as required
  • Prepare and submit the licence application to Swim England for approval (this includes a full race programme of events)
  • Ensure entry procedure and meet rules are clearly cascaded to all swimmers (by email and via the club website), including a deadline for entry and payment
  • Co-ordinate receipt of meet entries and ensure payments have been received from all swimmers
  • Provide the technical Sportsys team with a copy of the licence condition and programme of events so that the meet can be set up in Sportsys
  • Process entries using Sportsys meet software
  • Work with the club Officials Co-ordinator to ensure a full team of Officials are in place (making sure dates and timings are clearly communicated as far in advance as possible)
  • Organise poolside Volunteers as needed
  • Arrange any catering required for session breaks and poolside refreshments for Officials and Volunteers
  • If medals are to be awarded check stock and arrange for more to be ordered if required
  • Prepare signage, meet programmes, warm up schedules and sign-in sheets (as needed)
  • Ensure all swimmers are made aware of on the day timings (sign-in, warm-up, start of racing)
  • During racing be poolside to oversee and step in to help when and if required
  • Submit race results, promoter’s report and referee report to Swim England within the deadline set up in the licensing criteria.
